Hanabi* Con is located at Western Washington University, and held within the Academic West building.
Parking is free for attendees at Lot C, and Vendor or Handicap parking is located by request at Lot 19G.If both lots are full Hanabi*Con is located on the bus line and there are other paid lots around campus.

❇ARTIST ALLEY AND VENDOR HALL POLICY❇

The Hanabi Con Committee provides space, the Artist Alley and Vendor Hall, or “AA/VH”, for selling goods and services and for advertising during Hanabi Con. Private vendors, individual artists, other conventions, related businesses, student groups, and student businesses (“merchants”) may reserve a table in Western Washington University's Academic West building during the convention for these purposes.
❇AA/VH GENERAL RULES AND REGULATIONS❇Artists and vendors. We define “vendors” as merchants conducting mostly resale, in that they have personally made or designed 20% or less of their stock. Examples: local comic or anime stores tabling at Hanabi Con, artists’ guilds selling mostly the work of artists not present, or publishers. We define “artists” as merchants who have personally made or designed 80% or more of their stock. Please apply for the appropriate category according to these definitions–our review processes for artists and vendors are designed around these definitions, and if miscategorized you may receive poor panel review results.❇REGISTRATION AND ACCEPTANCE❇SUBMITTING A REGISTRATION FORM IS NOT THE SAME AS BEING ACCEPTED TO TABLE.❇ You will receive a confirmation email upon submitting a registration form, but it is not the same as being accepted to table. Artists that have been accepted to table at Hanabi Con and have a reservation will receive a secondary email confirming their acceptance.
Once accepted, your table, seating, and area in the AA/VH are reserved for the full duration of the event. This reservation is non-transferrable! If you have reserved a space and cannot come, please contact us at [email protected] so that we can provide the space to a waitlisted party.
❇ Reservation fee. Before setting up day-of, you must pay your table registration fee. The table reservation fee may be paid online at minimum two weeks in advance prior to the event. This fee is non-refundable.❇ Setup and takedown. AA/VH setup begins at 9 AM day-of. You must arrive between 9 AM-10 AM on the day of the event to unload and set up your booth. If you have not arrived by 12 PM your reservation will be made available to other artists. Loading and unloading of merchant goods must be done from Parking Lot 19G, parked or drove by, or from Parking Lot C. Loading and unloading of goods and materials that cannot be carried in through the front doors of AW must be unloaded at 19G. Vehicles must be moved to one of the campus parking C lots or 19G(with a permit) when loading/unloading is complete. DRIVING ONTO OTHER AREAS OF CAMPUS WITHOUT PERMISSION IS STRICTLY PROHIBITED.❇ The AA/VH closes at 8PM. Please make no sales after 8PM and begin breaking down your setup. You will need to unload your remaining supplies through the front. Artists are welcome to break down sooner if need be, but preferably not before 7PM.❇ Prohibited goods and services. The following items and practices are prohibited: “blind bags” (bags or boxes sold to customers containing random merchandise) that include R-18 work, health screenings, psychic readings, tarot card reading, counseling services, sales of edible goods, weapon sales (including but not limited to knives, swords, and “cute”- or “kitty”-style self defense keychains), the burning of candles or incense, and the sale of items prohibited on school campuses by the Revised Code of Washington. Threatening items, like prop weapons, must have an orange ring if they resemble guns and must pass through peacebonding at the info booth upon your arrival, BEFORE being sold. Items that shoot actual projectiles are not permitted.❇ “Damaging items,” including, but not limited to; hot glue guns, heat guns, knives, dremels, or anything that could possibly damage the tables or other property at the event are prohibited. Remember that you should have all your crafts done by the event, do not make them here. If you have an item that could be considered damaging, please email us at [email protected].❇Rules❇❇ Please be kind to each other and to Hanabi Con volunteers. Conventions can be stressful, especially when you’re pulling long hours, so some conflict is understandable, but remember–we’re all here for a love of art and this community, so let’s do what we can to make this a pleasant experience for all involved! Should serious conflict occur, please come to the info booth and request a coordinator to mediate.
Discriminatory behavior and harassment is prohibited. Treat everyone respectfully without regard to their race, gender, sexual orientation, nationality, religion, or physical and mental ability. Do not make unwanted sexual comments or advances towards anyone at Hanabi Con, including attendees, merchants, or Hanabi Con volunteers. Should you experience treatment you feel is discriminatory behavior or harassment, please come to the info booth and request a coordinator for immediate help. You can also send an email to [email protected] during or after the fact (though our email response may be delayed). We reserve the right to ban from Hanabi Con individuals who participate in discriminatory behavior or harassment.
❇ Card EVERYONE attempting to buy or browse R-18 goods, and don’t display anything with explicit covers unless housed within the R-18 areas. R-18 goods are allowed in our AA/VH, but you must have a sign or sticky note attached to them stating their nature (if located outside of the R-18 area) and check the ID of EVERY SINGLE PERSON who attempts to purchase them. Do not display R-18 goods with explicit covers, boxes, or displays even if you censor them with sticky notes or other barriers. “Blind bags” (bags or boxes sold to customers containing random merchandise) that include R-18 merchandise are not allowed. Attempts by minors to browse R-18 goods should be terminated and attempts by minors to purchase R-18 goods should be immediately be reported to the info booth. Under no circumstances do we allow the sale, display, or stocking of R-18 content involving underage characters. PLEASE REPORT MERCHANTS BREAKING THIS RULE TO THE INFO BOOTH OR TO [email protected] IMMEDIATELY.❇ Restricted content: non-sexual nudity in displayed art is permitted, but please cover genitals with an opaque sticky note or other barrier. Non-sexual depictions of breasts are permitted. Non-sexual gore-centric art is permitted; sexual gore should be treated as R-18 goods. Basically, if you’d see it in a store around Halloween, we’re fine with it.❇ Take note of our prohibited goods and services outlined above. Please read the whole section. Some prohibited items: weapons (including knives, swords, and “cute”- or “kitty”-style self defense keychains) and “damaging items” (including hot glue guns, heat guns, knives, or dremels). The sale of edible goods and psychic or tarot card readings are also disallowed.
Power and extension cords. If you require power, we will do our best to assign you a space near power outlets. It is your responsibility to alert us upon your acceptance to the AA/VH if you would like to request power. You must bring your own extension cords and tape, keep them safely out of throughways, and tape them down to make sure no one will be tripped by them. If you’re worried about your phone having battery to process card transactions, we recommend purchasing a mobile rechargeable battery bank.
Plagiarized or AI art is NOT allowed in the AA. If art or merch is determined to have been plagiarized, traced, or copied from other art, official art, or merchandise, the artist selling it will be expelled from the AA. You may not sell art that is directly referenced or redrawn from the art of another or an “official” source. If an artist is found to be in violation of this rule, they may be removed or banned at our discretion. Report plagiarized art here.
❇ Bootleg or pirated merchandise is not allowed in the VH. If a vendor is found to be selling physical merchandise impersonating a brand or en mass replicating a copyrighted design (like unauthorized plushies, figures, or apparel) or unauthorized copies of digital content (like CDs, DVDs, Blu-rays, or video games) they may be removed or banned at our discretion. Report bootleg or pirated merchandise here
Western Washington University maintains a “fragrance-free” campus to protect those with allergies to perfumes. As such, we ask that you refrain from wearing or spraying/diffusing scented products when attending Hanabi Con.
❇Smoking or vaping is not allowed anywhere on campus. You are not to smoke within 25ft of any doorway/entrance or on campus.❇ You may be photographed by Western Washington University employees or Hanabi Con volunteers at Hanabi Con while they are taking crowd shots or if you are in the background of other photographs. We may use these photos on our website, on social media, or in emails. Any photos of you, personally, with yourself or your booth as the focus of the photo, will only be taken with your permission and will be credited to you.❇ Western Washington University, Student Activities, and their constituents are not liable for any damage or loss of merchandise or other items brought on campus.
Western Washington University, Student Activities, and their constituents are not obligated to refund or reimburse for tables that are canceled. In events of the cancellation of Hanabi Con for a given year, tables will be carried over to the next event showing.
❇ARTIST ALLEY APPLICATION INFO❇Artists will be asked to submit:❇A link to an online portfolio❇A picture of a past con table setup if applicable, or, for first-timers, a mock-up table❇This portfolio link MUST be to a Tumblr tag, public Google Drive folder, Deviantart GALLERY FOLDER, Imgur, Storenvy, Tictail, Bigcartel, other online store sites, or personal website.Do:
– Showcase a variety of the work you’re most proud of
– Provide pictures of physical merchandise that are close up, well lit, and clear
– Provide minimum 10 pieces of work or, if using a larger portfolio (which is totally fine), make sure your best work is at the front
Do NOT:
– Use Facebook, a Facebook page, Deviantart ACCOUNT PAGE, Dropbox, or your Twitter/Instagram Page
– Provide ONLY table shots or shots of merch from a distance
– Use blurry and/or dark pictures
– Provide a link we are locked out of (for example, you link to a google drive folder we don’t have permission to view)
– Provide a link to an account shared with images of work you don’t plan to sell; we DO check the whole portfolio against our plagiarism guidelines
❇ We will be using a partial jury, partial first-come-first-serve process.❇ Plagiarized art is NOT allowed in the AA, even if no red flags are raised in the panel review. If art or merch is determined to have been plagiarized, AI, traced, or copied from other art, official art, or merchandise, the artist may be ejected from the convention.❇VENDOR HALL PANEL REVIEW CRITERIA❇Vendors will be asked to submit:❇ A picture of a past con table setup or a mockup
Several pictures of their stock
A list of previous cons they vended at, if applicable

❇ All panels/talks welcome!❇ To host a panel you must be at least 16. If you are 16-17 you must have a parent/legal guardian present!❇ Your panel can be for all ages or 18+, just let us know so we can have a volunteer ID attendees. If it is 18+ it will likely be done later in the evening.❇Professors are encouraged to apply.❇ If you need it, you must bring your own computer to the event. We cannot rent any computers for your use.❇ You must show up to your panel at least 15 minutes before it’s scheduled so you may set up for your event.❇ You cannot have your panel run longer than what you requested. If you want to wait for more people to show up to your panel that is fine, but you must end at your allotted time. CODE OF CONDUCT AND CONVENTION RULES❇Attendees of Hanabi Con are invited guests of Western Washington University. It is our obligation to ensure that our behavior is not disruptive to the learning or social environment of the college so that we can continue having this event each year!❇The following rules of conduct must be followed by all Hanabi Con attendees. Attendees are also expected to be in compliance with The Western Washington University student code of conduct and Washington state law.❇For cosplay and prop guidelines, please see this page.CODE OF CONDUCT WHILE AT HANABI CON:❇Attendees under the age of 13 must be accompanied by an adult.
Attendees younger than 16 must have an adult responsible for them on campus.
❇ Please be respectful of other attendees, vendors, volunteers, and campus staff.❇ Remember cosplay is not consent! Do not photograph individuals or touch people or their props without consent.❇ Respect the campus and pick up after yourself; don’t leave trash for volunteers to clean up while we wrap up after the Convention Hours.❇ Follow the directions of volunteers and campus staff.THE FOLLOWING ACTIVITIES ARE PROHIBITED:❇ Engaging in disruptive and unsafe behavior that disturbs the public or convention.❇ Physical or verbal harassment of, or discriminatory behavior towards, attendees, merchants, staff, or campus personnel.❇ Any act which could result in substantial risk or harm to people or property.❇ “Glomp circles” and other roughhousing activities.❇ Sexual misconduct, assault, or harassment.❇ Possession of weapons or objects banned by our prop guidelines.
❇ Smoking in undesignated areas.
❇ Use of marijuana anywhere on campus.
❇ Sleeping in the convention area.
❇ Striking others, even when miming fight scenes.❇ Wearing signs (“Free hugs” etc.) that offer or solicit services.❇ Engaging in any activity prohibited by law.❇ Hanabi Con reserves the right to require anyone violating our code of conduct, our rules, or Western Washington University campus policies to leave the event. Illegal activities will result in notification of campus and local authorities.CAMPUS & CONVENTION POLICIES❇ Alcohol. There is to be no consumption of alcohol anywhere on campus. Individuals who appear to be intoxicated will be asked to leave campus. Violation of state law in regard to alcohol will be reported to campus and local authorities.❇ Animals. ADA working animals are allowed in the convention space. Non-ADA animals are not permitted.❇ Harassment and Assault. Hanabi Con has a zero-tolerance policy on harassment and assault of any kind. Harassment is any behavior that intentionally annoys, threatens, or alarms another person. This includes any unwanted physical contact, following someone without a legitimate reason, or threatening to physically harm someone.❇ Treat everyone respectfully without regard to their race, gender, sexual orientation, nationality, religion, or physical and mental ability. Do not make unwanted sexual comments or advances towards anyone at Hanabi Con, including attendees, merchants, or Hanabi Con volunteers. If someone asks to be left alone, honor their request.❇ Should you experience treatment you feel is discriminatory behavior, harassment, or assault, please contact the nearest volunteer and fill out this form.❇ Illegal Substances. Any illegal substance abuse will be reported to the appropriate authorities; do not bring marijuana to Hanabi Con.❇ Photography. Photography and video of large events and crowds are allowed. Do not let this disrupt events or floor traffic. Cosplay is not consent! Please be considerate and ask first before taking pictures of any individuals. Do not photograph artists’ tables without explicit permission. Do not attempt to photograph “upskirts” in any fashion. Violators will be ejected from the premises and possibly banned.❇ PDA. Please do not engage in excessive PDA, Hanabi Con is considered an all ages event and we ask that you behave accordingly.❇ No Live Action Role Playing (LARPing) is allowed. Activities such as ‘glomp circles’ that involve horseplay and rough contact with fellow attendees are prohibited whether consent is given or not. If we have to break up one of these, the participants will be asked to leave the convention. Do not strike any other person with any part of your body, cosplay props or weapons or projectiles coming from any of the aforementioned.❇ DO NOT UNDER ANY CIRCUMSTANCES SWING OR FIRE ANYTHING AT ANYONE OR ANYTHING ON CAMPUS. Even with consent, there will be a zero-tolerance policy on this. Exception will be made for posing for photographs only in raising the prop to assume a pose. If you strike anyone intentionally or by accident, you alone will be responsible for any legal repercussions. Hanabi Con and Western Washington University assume no responsibility for assault charges brought upon you by these actions.❇R-18 goods. Merchants in the AA/VH may sell R-18 goods. However, they must have a sign or sticky note attached to these items stating their nature and they must check the ID of EVERY SINGLE PERSON who attempts to browse or purchase them. Attempts by minors to browse or purchase R-18 goods will be treated as a violation of Hanabi Con Code of Conduct. Merchants may not display R-18 goods with explicit covers, boxes, or displays, even if these are censored with sticky notes or other barriers. PLEASE REPORT MERCHANTS OR ATTENDEES BREAKING THIS RULE TO THE INFO BOOTH OR TO [email protected] IMMEDIATELY.❇ Scented products. WWU is a fragrance-free campus in order to accommodate those sensitive to certain chemicals and ingredients used in strong perfumes, colognes, etc. Please do not wear scents to the event.❇ Signs. Please refrain from wearing signs (“Free Hugs” etc.) that offer or solicit services.❇ Sleeping in convention areas is prohibited.❇ Smoking and Vaping. Western Washington University is a Smoke and Vape free campus, Anyone caught Doing so during the convention will be removed from the convention and campus premises.❇ Theft. Any attendee caught in the act of shoplifting or stealing will be handed over to the authorities, be removed from the premises, and refused service into all future Hanabi Con events.❇ Hanabi Con, the Hanabi Con Committee, Aramark, Chartwell, Western Washington University and its affiliates are not responsible for any loss, damage, theft, or injury. Members are responsible for their individual actions and any repercussions that may result. Civil or medical emergencies are to be handled directly by the proper authorities.

Cosplay & Props Code of Conduct

COSPLAY & PROP GUIDELINES❇ While no anime convention is complete without cosplay, Hanabi Con reserves the right to deem a costume unacceptable and request the wearer to make modifications at our digression. Violation of the following rules can result in staff asking you to change. Failure to comply can result in removal from the premises.GENERAL ATTIRE RULES.❇ Our general attire rules are gender neutral. Garments must fully cover breast, genital and buttocks area. Thongs are not permitted with the exception of when worn over another garment that covers the genital and full buttocks region. Visible underwear must not be translucent, transparent or in any way see-through. Any clarification questions can be directed to [email protected].❇ Bodysuits. Any bodysuits worn must be opaque or be worn over opaque undergarments. Please wear something like a dance belt or spanks underneath any form fitting item of clothing.❇ Explicit or discriminatory clothing. We ask that attendees do NOT wear explicit content on their body or on signs they carry (eg: “ahegao” faces and other sexual or violent material). This follows the same rules as artist alley requirements, in accordance of keeping our campus and the con family-friendly and age appropriate. Attendees cannot wear costumes that can be construed as discriminatory (racially violent/sexist/ableist/transphobic/homophobic). This includes clothing that emulate Nazi or Neo-Nazi themes and iconography, as well as other hate groups.❇Footwear. Due to public health and safety requirements, all attendees are required to wear approved footwear while in the convention and college space. We ask that these footwear at least cover the whole sole.PROPS/WEAPONS❇ There will be a weapons check/peacebonding table at the info booth of the con. Please be sure to stop by at the CRC to have your weapons peacebonded. Any prop considered dangerous will be confiscated or asked to be removed from campus. Storing the dangerous prop in your vehicle is fine. Violating items will be subject to confiscation. If you are unsure whether your prop is acceptable in the convention space, please consult the info desk.❇ Keep in mind, campus and local police will assume all drawn weapons or props are functional, and will act accordingly. In the event of a mass shooting, you should immediately drop and abandon your props to prevent confusion when law enforcement arrive.❇ Bows: Prop bows are allowed and you may have them strung for photo purposes, but under no circumstances should you draw it (pull on the string). Arrows etc. may be a part of your costume, but may NOT contain metal or sharp edges. Real bows are not allowed on campus, strung or unstrung.❇ Gun props: Gun props should be discernibly fake from a great distance. Orange safety tips are required on any gun prop resembling a real one; the orange stripe must go all the way around the muzzle and be non-removable. Realistic guns are not allowed to have any functional parts, and must not be usable. Nerf guns and water guns are permitted as long as they do not have ammunition. AIRSOFT GUNS ARE NOT ALLOWED, REGARDLESS IF LOADED OR NOT. NEVER point any gun prop at yourself or another attendee.❇ No firearms will be allowed on campus. This includes individuals who possess a weapons permit or concealed weapons permit. Anyone found in possession of such a weapon will immediately be turned over to campus and local authorities.❇ Metal Weapons: All weapon props made of heavy metal with ANY blade, containing any live steel or deemed to be a blunt force object are STRICTLY PROHIBITED. Light metals with no sharp edges will be accepted.❇ Other materials: Weapons made of paper-mache, plastics (worbla, wonderflex, sintra etc.), or any other material must not possess sharp tips or edges. If you can pop a balloon with it with little force, you should not bring it.❇ Any prop weapons that can be used as a real weapon (eg: metal/wooden bats, whips, live metal, glass, floggers, and batons) will not be allowed on campus premises.❇ If vendors sell weapons or props that are not in compliance, the purchased item MUST be taken to a car or off premises immediately.

❇ HANABI CON VOLUNTEER CODE OF CONDUCT ❇❇ Stay kind, stay friendly! As volunteers we ask that you keep a cordial and professional response to all attendees to ensure everyone is comfortable and happy.❇ Be sure to check-in at the info booth when you arrive, and attend to your hours as assigned.❇ Please adhere to all rules provided in our convention code of conduct❇ Be sure to know and revise the rules including the cosplay guidelines so you can comfortably address any issues you see at the convention.
If you see any prop weapons that are not peacebonded, please send the attendee to the info booth for peace bonding.
❇ If you run into any issues, emergency situations, or aggressive/rude response to you addressing problems, be sure to message the Discord and the coordinators or managers will respond accordingly with either sending another volunteer to help or coming themselves to aid you.
